Etsy Listing Template for Digital Downloads: Title, Tags, Description and Photos

A good Etsy listing for a printable does four things: it says exactly what the file is, shows what the buyer will see, explains how to use it and removes doubts. The listing is often harder for new sellers than making the product, because it is about words and photos instead of making. This template breaks it into parts so you can fill them in for an activity placemat or any other printable. It is general guidance, and Etsy's fees and rules change, so check their current terms.
The structure of a listing
| Part | Purpose | Time |
|---|---|---|
| Photos | Get the click | 45 minutes |
| Title | Match what the buyer types | 10 minutes |
| Tags | Cover related searches | 10 minutes |
| Description | Answer questions | 20 minutes |
| File and delivery note | Make sure the download works | 10 minutes |
Part 1: the title
The title is written for two readers: the buyer and the search system. The best titles are plain.
Formula: [Theme] + [Product type] + [Use] + [Format/size].
Example: Dinosaur Activity Placemat Printable, Kids Table Activity, 11x17 PDF Download
Rules that help:
- Put the clearest words first. A buyer scanning results reads the first few.
- Use the words a parent would actually type: "printable", "kids", "placemat", "activity".
- Mention the size or format ("11x17", "A3", "PDF") because buyers filter by it.
- Do not repeat the same word four times.
- Avoid unrelated trending words. They confuse buyers and do not help.
Part 2: the tags
Think of each tag as a short phrase a buyer might type. Cover:
- The product ("activity placemat").
- The audience ("kids activity").
- The use ("restaurant activity", "party favor").
- The theme ("dinosaur", "space").
- The format ("printable pdf", "instant download").
- The season, if relevant ("christmas activity").
Use multi-word phrases rather than single words. Keep a list of tags that you used so you can compare listings later.
Part 3: the photos
Buyers cannot touch a digital product, so photos carry the sale. You need five to ten images:
- Hero: the finished mat on a table, bright and clear.
- Close-ups: the word search, the maze, the joke block.
- Sizes: a graphic showing 11x17, A3, Letter, A4.
- How it works: download, print, play.
- In use: a lifestyle mockup with crayons.
- What's included: a list of files.
Keep your style consistent across the whole shop. The kit's mockup checklist gives you a shot list so you do not have to remember it.
Part 4: the description
Here is a template you can adapt:
What you get: one printable activity placemat (PDF) with a word search, maze, jumble, joke and coloring corner. Sizes included: 11x17 in, A3, and landscape Letter/A4. How it works: 1) Purchase 2) Download from your Etsy account 3) Print at home or at a print shop 4) Enjoy. Please note: this is a digital product. No physical item is shipped. Colors may vary by screen and printer. Personal use: for your own family or classroom. Please do not resell or share the file.
Add a short paragraph about how the mat can be used at home, in a restaurant, at a party. Keep it factual. Avoid claims about what children will learn or achieve.
Part 5: the file and delivery note
Check that:
- The PDF opens on a phone and a laptop.
- Pages are at the right size.
- The first page contains a thank-you note and any link the buyer needs.
- The file name is clear ("Dino-Activity-Placemat-11x17.pdf").
Licence line
Say what the buyer may do. Personal use is the usual default. If you offer a separate commercial option, make it clear and price it separately. The seller's own licence matters: with the Placemat Press · Activity Mat Creator Kit, the commercial licence covers finished placemats you create, but you may not resell or share the kit or its loose elements. A listing checklist
- [ ] Title leads with the product
- [ ] 13 tags (or the current limit), all relevant
- [ ] Hero image at the right ratio
- [ ] At least 5 images
- [ ] Description with what, sizes, how, licence
- [ ] File tested
- [ ] Price decided
- [ ] Policies read
What to test over time
Change one thing at a time. If a listing is not getting views, adjust the title and tags. If it gets views but no sales, adjust the photos and price. Write down what you changed and when. That makes you a better seller faster than any theory.
Where this fits
This is the "List" step of Mix, Mat, List. The Mix and Mat steps are in the placemat build guide and the template guide, and the whole path is in how to sell printables on Etsy. The Placemat Press · Activity Mat Creator Kit costs $17.00 and includes the listing template used here. No income is promised; your results depend on your niche, listings and effort.
Filled-in example: the Space Mission placemat
To make the template concrete, here is how the parts look for a single listing.
Title: Space Activity Placemat Printable, Kids Table Activity, Astronaut Theme, 11x17 and A3 PDF
Tags (examples): space placemat, kids activity mat, printable placemat, restaurant activity, rocket maze, planet word search, party table activity, instant download, kids printable, activity page, birthday activity, screen free kids, astronaut party
Photos: (1) the finished mat flat on a wooden table; (2) a close-up of the planet word search; (3) the rocket maze with a crayon beside it; (4) a size graphic; (5) a "how it works" strip; (6) a child's hands coloring the rocket.
Description opening: "Keep little astronauts busy at the table with this printable space activity placemat. One PDF with a planet word search, a rocket maze, a joke, a would-you-rather and a coloring corner."
Licence line: "For personal use. Please do not resell or share the file."
Notice what is missing: any promise about learning gains or sales, and any words that do not describe the file. The listing is plain, specific and checkable, which is what buyers want.
Common beginner errors
- Vague titles. "Cute Printable" tells nobody anything.
- Photos that hide the product. If the mat is tiny in the photo, the buyer cannot judge it.
- No size information. Buyers need to know whether it prints at 11x17.
- Copied descriptions. Write your own; it protects you and reads better.
- Forgetting the digital note. Without it you will answer the same message repeatedly.
Fix those five and your first listing will already sit above many that look similar.
